Notice of Updates

The following updates have been made to our Terms and Conditions:

  • Introduction of compulsory Lesson Membership for all ongoing and peak-time lessons

  • Requirement that all lessons be either prepaid or secured via membership (NDIS excluded)

  • Clarification that no-shows result in full payment forfeiture

  • Confirmation that lessons run to schedule regardless of late arrival

  • Public Holidays and advertised closure days are not charged

  • Horses and instructors may be substituted where required

  • Introduction of a two-week annual Membership Pause policy

  • Fees may be adjusted with written notice

By continuing to book or attend sessions after the effective date, clients acknowledge and accept these updated terms.

 

Quick Reference – What You Must Know Before Your Session

1. Cancellation Deadlines

  • Private sessions: Cancel at least 24 hours before your session or the session fee is forfeited.

  • NDIS sessions: Cancel at least 48 hours before your session or the session fee is forfeited.

  • Term packages (5 or 10 lessons): Same rules apply; sessions must be completed within 6 or 12 months of purchase.

  • Off Peak 5 lesson packages: Same rules apply. Package must be used within 12 months.

  • School holiday clinics/events: Cancellations within 7 days are non-refundable.

  • Sessions cancelled by Alkira Adina Equestrian due to weather or horse welfare will be rescheduled or refunded as appropriate.

2. Required Clothing
For all sessions, whether riding or ground-based:

  • Enclosed shoes (boots or sneakers) – no sandals, skirts, or open footwear.

  • Long pants – skirts or dresses are not permitted.

  • Comfortable top suitable for movement.

  • Long hair tied back.

  • Loose/flappy clothing or jewellery (except medical bracelets) is not allowed.

3. Paperwork

  • Waiver: Required for all participants. If a support person is attending with a participant, they must also sign a waiver.

  • Service Agreement / Terms & Conditions: Must be read and signed before attending all sessions, whether privately or NDIS funded.

4. Other Essentials

  • Bring a drink bottle – tap water is available for refills.

  • Children under 18 must have a responsible adult present on the property.

  • Follow all staff instructions and safety guidelines – unsafe behaviour may result in being asked to leave and session fees being forfeited.

Following these key points helps keep everyone safe, ensures fairness, and allows us to focus on the most important part – enjoying time with the horses and learning new skills.

Service Agreement (Terms and Conditions)

This Service Agreement (“Agreement”) is entered into between Alkira Adina Equestrian (“the Provider”) and the Client as of the date of signing. By booking and attending sessions, the Client agrees to the following terms and conditions.

1. Property Address and Access

Address:
68 Easton Road, Chandlers Hill

Upon entering the property, veer sharp left up the dirt driveway to access parking.

The house located on the property is private and not associated with Alkira Adina Equestrian.

2. Payment Structure and Booking Requirements

2.1 Payment Requirement

All lessons must be either:

  • Booked and paid in full at the time of booking (casual lessons), or

  • Secured under an active Lesson Membership with automatic advance payment.

Ongoing lessons that are not prepaid at booking will be transitioned to a Lesson Membership. Ongoing time slots cannot be held without active payment arrangements.

Peak-time lesson placements are available exclusively through Lesson Membership.

NDIS-funded sessions are invoiced and processed in accordance with NDIS requirements.

Clients who elect to pay via manual invoice rather than prepaying through the Book Online system will incur a Manual Administration Fee, payable prior to the commencement of sessions, as this payment pathway requires additional administrative processing.

2.2 Lesson Membership

Lesson Membership includes:

  • A reserved weekly lesson time

  • Automatic advance payment

  • Allocation of instructor time and horse workload

  • Priority access to high-demand scheduling

Membership may be cancelled with a minimum of 48 hours written notice prior to the next scheduled lesson.

If notice is provided within 48 hours of a scheduled lesson, that lesson is forfeited.

Failure of payment may result in suspension or release of the allocated lesson time.

2.3 Membership Pause Policy

Lesson Memberships may be paused for up to two (2) weeks per calendar year.

  • A minimum of 7 days written notice is required prior to the first paused lesson

  • Pause periods must be taken in full-week blocks

  • Pause requests cannot be backdated

  • Membership automatically resumes after the approved pause period

  • Additional pauses beyond two weeks per calendar year are not available unless required by law

2.4 Casual Lessons and Packages

Casual and school holiday bookings must be paid at the time of booking.

Term Packages:

  • 5-lesson package: must be used within 6 months of purchase

  • 10-lesson package: must be used within 12 months of purchase

Pre-booked casual off-peak lesson blocks (5 lessons) may be used at any time; however, only off-peak time slots are guaranteed. Off-peak blocks cannot be used to secure ongoing peak-time placements.

Lesson packages are non-refundable for change of mind.

2.5 Late Payments

Payments overdue by 14 days may incur late fees or debt collection costs.

Late NDIS payments may incur an administration fee.

If a lesson has not been prepaid and is missed or cancelled late, the full lesson fee remains payable and must be settled before further lessons may be booked or attended.

3. Cancellation Policy

Alkira Adina Equestrian reserves sessions specifically for each participant, including staff, horses, and resources. For this reason, cancellation rules are strictly enforced.

Private Sessions

Minimum 24 hours’ notice required.
Cancellations within 24 hours or no-shows result in forfeiture of the full session fee.

NDIS Sessions

Minimum 48 hours’ notice required.
Cancellations within 48 hours or same-day cancellations result in forfeiture of the full session fee.

Lesson Membership

Minimum 48 hours’ written notice required to cancel a scheduled lesson.
Late cancellations result in forfeiture of that lesson.

School Holiday Clinics / Events

Cancellations within 7 days are non-refundable.

Weather and Equine Welfare

Sessions may be cancelled or adjusted due to weather, safety concerns, or horse welfare. In such cases, clients will be offered a reschedule option or credit. Credits are not refundable unless required under Australian Consumer Law.

4. No-Shows and Late Arrivals

Failure to attend a scheduled session without required notice constitutes a no-show and results in the full session fee being forfeited.

Lessons run to schedule. Late arrival does not extend the scheduled finish time.

5. Public Holidays and Closure Days

Lessons do not operate on Public Holidays or on advertised Alkira Adina Equestrian closure days. No payment is charged for these dates.

6. Substitution of Horses or Instructors

While consistency is prioritised, Alkira Adina Equestrian reserves the right to substitute horses or instructors where necessary due to welfare, safety, or operational requirements.

7. Delayed Starts and Holding Fees

If a peak-time lesson slot is purchased but the participant is unable to commence on the listed start date, the placement may be held by arrangement.

A holding fee of $50 per scheduled lesson applies for each session deferred to retain the allocated peak-time slot.

Holding fees are calculated based on the number of scheduled sessions deferred and are non-refundable except where required under Australian Consumer Law.

The initial lesson payment secures and holds the selected peak-time slot and is not deducted from any subsequent package purchase.

8. Supervision of Minors

Participants under 18 years must be accompanied by a responsible adult on the property at all times.

Parents or caregivers are responsible for providing any necessary medication (e.g., inhalers, EpiPens).

9. Safety and Conduct

Participants must follow staff instructions and behave safely and respectfully toward horses, staff, and other participants.

Unsafe or inappropriate behaviour may result in immediate termination of the session. Session fees will be forfeited.

Repeated unsafe behaviour may result in suspension or termination of future bookings.

10. Communication of Schedule Changes

Where a change is known prior to the session day, clients will be notified by email.

If a session must be rescheduled on the same day due to unforeseen circumstances, including weather or horse welfare, notification will be provided via SMS.

Clients acknowledge that same-day changes may be necessary to ensure safety and agree that email and SMS are the primary methods of communication. It is the client’s responsibility to ensure contact details are current.

11. Review of Paperwork

Where documents are uploaded for review, this will be treated as non-face-to-face support time and charged in a minimum 15-minute increment.

12. Satisfaction and Feedback

Alkira Adina Equestrian aims to provide high-quality sessions.

Clients are encouraged to raise concerns directly with the Provider so they may be addressed promptly.

NDIS participants may access the formal complaints process if required.

13. Governing Law

This Agreement is governed by and construed in accordance with the laws of South Australia.
