4. Cancellation Policy

Alkira Adina Equestrian reserves sessions specifically for each participant, including staff, horses, and resources. For this reason, the following cancellation rules are strictly enforced:

Private Sessions:

  • Cancellations must be made at least 48 hours before the scheduled session.

  • Cancellations within 48 hours or no-shows result in the full session fee being forfeited.

NDIS Sessions:

  • Cancellations must be made at least 48 hours before the scheduled session.

  • Cancellations within 48 hours, or same-day cancellations, result in the full session fee being forfeited.

Term Packages (5 or 10 lessons):

  • All sessions booked as part of a package must adhere to the same notice requirements.

  • Missed sessions without adequate notice are forfeited.

  • Lessons must be completed within the 6- or 12-month period from the date of purchase.

Peak Lesson Times/ Ongoing lessons: For peak-time lessons or ongoing lessons, time slots are held subject to ongoing payment. Participants are asked to let us know in writing (email or message) if they wish to cancel or discontinue their lessons. If there is no communication and payment is not received, the time slot may be released to another participant. Non-payment and lack of communication will be taken as a decision not to continue.

Weather and Equine Welfare:

  • Sessions may be cancelled or adjusted by Alkira Adina Equestrian due to weather or horse welfare. In such cases, clients will be offered reschedule options or refunds as appropriate.

School Holiday Clinics/Events:

  • Cancellations within 7 days of scheduled programs are non-refundable.

5. Safety and Conduct

  • Participants must follow staff instructions and behave safely and respectfully toward horses, staff, and other participants.

  • Unsafe or inappropriate behaviour may result in being asked to leave immediately; session fees will be forfeited.

  • Repeated unsafe behaviour may result in suspension or termination of future sessions.

6. Satisfaction and Feedback

  • Alkira Adina Equestrian aims to provide high-quality sessions.

  • Clients are encouraged to raise any concerns directly with the Provider so they can be addressed promptly.

  • NDIS participants may access the formal complaints process if required.

7 . Delayed starts and package upgrades

If you purchase a peak-time lesson slot but are unable to commence on the listed start date, your place may be held for a later commencement by arrangement. A holding fee of $50 per scheduled lesson applies for each session deferred in order to retain your allocated peak-time slot. For example, a three-session delay on a weekly lesson would incur a $150 holding fee. The holding fee is calculated based on the number of scheduled sessions deferred, not calendar weeks.

Holding fees are not refundable, except where required under Australian Consumer Law.

If you wish to proceed directly to a lesson package after purchasing a time slot, a discount code will be provided to apply toward the package purchase. The initial lesson payment secures and holds your selected peak-time slot and is not deducted from the package price. Initial Lesson Recommendation & Refund Policy
We strongly encourage all riders to begin with an initial casual lesson. This provides an opportunity for both the rider and instructor to assess whether the lesson structure, teaching style, and environment are a good fit before committing to a package. Please note that lesson packages are non-refundable for change of mind.

8. Communication of Schedule Changes
Alkira Adina Equestrian will provide notice of lesson rescheduling as early as practicable. Where a change is known prior to the day of the session, clients will be notified by email. If a session must be rescheduled on the same day due to unforeseen circumstances, including weather or horse welfare, notification will be provided via SMS from the relevant instructor, teacher, or therapist.

Clients acknowledge that same-day changes may be required to ensure the safety of participants, staff, and horses, and agree that email and SMS are the primary methods of communication. It is the client’s responsibility to ensure contact details remain current.

9. Review of paperwork: Where any document is uploaded for review, this will be treated as non-face-to-face support time, charged in a minimum 15-minute increment.

10. Governing Law

This Agreement is governed by and construed in accordance with the laws of South Australia.
